Joslin's Fundraising and Event Guidelines and Agreement to Comply


Once you have submitted this online Event Form, a representative from Joslin will contact you. When conducting a volunteer fundraising event to benefit Joslin Diabetes Center, event organizers are expected to comply with the guidelines set out below. Compliance with these guidelines will ensure that everyone connected with the event has a positive experience.

1. Fundraising events should positively represent the image of Joslin and its mission to treat, cure and prevent diabetes. The event may not be sponsored by alcohol or tobacco, nor may it be sponsored by products, as Joslin does not endorse products. Any use of Joslin's name for promotion of the event or the event itself must be approved in writing by Joslin prior to use by the event organizer. In addition, Joslin Diabetes Center in Boston must be identified as the beneficiary of the event, not the sponsor. For example, organizers should not characterize an event as the "Joslin Diabetes Center Golf Tournament." Instead it should be promoted as the "Golf Tournament to benefit Joslin Diabetes Center." This rule applies to all invitation copy as well as advertising and promotional activities. Joslin must approve, in writing and in advance of printing or use, all invitation copy, advertisements, web pages or other activities related to the event or that use Joslin's name.

2. Events must comply with all federal, state and local laws governing charitable fund-raising, gift reporting and special events. Raffles may not be conducted; however, opportunity drawings may be held. An opportunity drawing is similar to a raffle, except that one need not give a donation in order to get a ticket and enter the drawing. In fact, while you can suggest an appropriate donation, you must also provide a clear and visible statement letting people know that they can enter the drawing whether or not they give a donation. You will also need to describe the prize(s) and their fair market value. Your Joslin representative will be happy to talk with you about opportunity drawings.

3. A minimum goal of $1,500 is suggested. Joslin maintains fundraising expenses at about 15% of the total funds raised and strongly encourages event coordinators to maintain the same ratio of expenses to total funds raised. 4. Event/fundraiser organizer(s) may not benefit from the event in any way other than goodwill, nor may they retain any portion of event-related proceeds as personal profit or compensation for personal services. 5. The sponsoring organization must submit event proceeds to Joslin within 30 days following the event. Proceeds should be mailed or delivered to:

6. Although we want to help make fundraising events as successful as possible, Joslin has limited resources. We cannot provide financial support or reimbursement for expenses. Joslin cannot recruit sponsors for your event or provide auction items. We are happy, however, to help you think of event-related ideas and provide suggestions as appropriate. 7. It is important to disclose to event participants the portion of event-related gifts and/or fees that are tax deductible. Only financial and in-kind contributions directed to Joslin will receive a tax receipt.

8. Any services rendered in relation to this event /fundraiser will not create an employer-employee relationship, a legal partnership or joint venture between the event /fundraiser organizer and Joslin Diabetes Center. The organizer may not enter into any agreements, either written or oral, on behalf of Joslin.

9. If Joslin Diabetes Center will not be receiving all of the proceeds from the event, then the exact percentage of the proceeds to benefit Joslin Diabetes Center must be stated clearly on all invitation copy, advertising and promotional materials.

10. Under no circumstances may an individual or group keep any portion of the proceeds as profit or compensation for organizing the event.

11. The event organizer must seek approval from Joslin to repeat the event in each succeeding year.

12. Indemnification and Hold Harmless

Event/fundraiser organizers agree to indemnify and hold harmless Joslin Diabetes Center and its officers, directors, agents, successors, heirs, and assigns ("the Joslin Parties") against any liability, damage, loss, or expense incurred by or imposed upon the Joslin Parties or any one of them in connection with the event.

13. Media Release.

By creating a fundraising page, you acknowledge the intention to raise funds to benefit Joslin Diabetes Center. You give Joslin permission to use, publish, distribute, copyright and publicly display any photographic, video or audio reproductions of your likeness or voice made at or related to the event. You also give Joslin permission to use, distribute and publish in any format your name and any information that you have provided in the course of participating in the event or being interviewed, photographed or videotaped. Joslin may also allow any commercial publication or media outlet to use your photograph, video or audio recording.

14. Athletic Events

Participants in marathons or other athletic events on behalf of Joslin assume all risks to themselves or others associated with participating in the event. The participant understands that any exercise activity may create physical stress and subsequent harmful effects and that various hazardous conditions may exist during participation in such events. If you are the participant, you agree, on your own behalf and on behalf of anyone entitled to act on your behalf, to waive and release Joslin, its members, directors, officers, employees, and agents from any and all liability whatsoever from any and all harm or injury that may result from your participation in the event.

By submitting Joslin's Event Form, you acknowledge that you have read, understood and agree to the above Fundraising and Event Guidelines.
